This General Meeting aims to ammend the current TeaSoc constitution, the ammendments will hopefully ensure a more successful running of TeaSoc. New positions to be opened are as follows:
1. One Vice President (bringing the total of VPs to two)
2. Two Tea Barons
3. Two Tea Merchants
Please come along if you are able to help out with the running of weekly tea events, joint events and major events. Come along and volunteer for one of the new positions and help TeaSoc become even more awesome!
Amendments to Constitution (will be listed in bold)
1. Addition to clause 4.3; 4.3 Attendance of Executive Members at Ordinary and General Meetings is obligatory. Any Executive Member who does not attend three consecutive meetings without leave can be dismissed from the Executives by a two thirds majority vote of those Ordinary Members and Honorary Members who would otherwise be eligible for Ordinary Membership in attendance at an Ordinary Meeting. Shall now become 4.3.1
Adding to this,
4.3.2: All executives must fulfil their roles as prescribed by the constitution to the best of their ability. If any executive believes another executive (hereinafter referred to as the executive in question) is not properly fulfilling his or her role, the first-mentioned executive may lodge an anonymous complaint with the President, Vice Presidents or Secretary. The complaint shall be investigated and if found to be legitimate, the executive in question shall be issued with a warning. If the executive in question continues to fail in discharging his or her duties, after a period of two weeks from the issuance of the warning, he or she may be dismissed upon motion by either the President, both the Vice Presidents after discussion with the President or one Vice President and the Secretary after discussion with the President.
2. Introduction of new Executive Positions and amendments of Current Positions;
also in the list of Executive positions, change “a Vice-President” to “two Vice-Presidents”
5.1 The President shall:
- plan the Society’s activities in consultation with the Executives
- Liaise with the Executive and any Committees formed by the Society
- ensure adequate training and handover, including any documents and materials to the following Executive
- ensure all Executives are properly fulfilling their duties to the best of their abilities
5.2 The Vice-Presidents shall:
- Deputise for the President.
- Maintain communications with society members
- Maintain a list of current Members, in accordance with University of Sydney Union Guidelines.
- in discussion with the President ensure all Executives are properly fulfilling their duties to the best of their abilities
5.4 The Secretary shall:
- Conduct the correspondence of the Society.
- Book meeting rooms for the Society.
- Keep minutes of the proceedings of all Society meetings.
- Maintain the records and documents of the Society.
- Maintain the Society’s registration with the University of Sydney Union.
- in discussion with the President ensure all Executives are properly fulfilling their duties to the best of their abilities
5.6 Media Officer (Shall hereby renamed PubliciTEA Officer)
- Help with promoting awareness of Society as a whole
- Promote events and activities held by the Society through electronic means
- Be in charge of photography during events
- Be in charge of obtaining sponsorships and liaising with sponsors.
5.7 General Executives (Shall hereby be renamed Tea Leaves)
- Assist the Executives in any way possible during Ordinary Meetings and other tasks
- Assist other societies during joint-events
5.5 Tea on Campus Officers Position will be dissolved. New positions are as follows.
5.5 Tea Barons (x 2) shall:
- Book Rooms for Tea Events
- Run/oversee Weekly Events and Major Events.
- Conduct correspondence with other Societies in relation to the organisation of Joint Events
- Prepare equipment and tea for regular tea events and be responsible for clean up afterwards
- Ensure all paperwork is completed before, during and after the events, including, but not limited to, pre-event forms, attendance tallies, sign-up sheets and post-event forms.
- Maintain the Society lockers in a neat and orderly fashion
5.5.1 Tea Merchants (x 2-4) shall:
- Buy food, tea, utensils and any other items required for Tea Events under the direction of the Tea Barons (or the President)
- Ensure the smooth running of Tea events under the direction of the Tea Barons, including, but not limited to, regular sweeps of the event room to clean up rubbish, mopping up spillages and fetching water for the kettles.
- Deputise for the Tea Barons where required
